Full-time Position: Scheduling & Events Coordinator

Location: on-site in Purcellville, VA

 

Scheduling & Events Coordinator

Patrick Henry College is looking for a dynamic and organized Scheduling & Events Coordinator to oversee the planning and execution of both internal and external events. This exciting role offers the opportunity to be a key part of campus life, coordinating memorable experiences that reflect the College’s mission. Flexible hours, including evenings and weekends, are sometimes required to support the full range of events.

KEY RESPONSIBILITIES

  • Supervise and schedule student Events employees to ensure smooth operations. 

  • Decorate College buildings for events and seasonal celebrations. 

  • Maintain strong working relationships with clients, vendors, and venues; plan event details including venue selection, seating, dining, and guest lists. 

  • Create event proposals that meet client needs and submit them by established deadlines. 

  • Coordinate with College departments to provide necessary services and manage event budgets while adhering to specifications. 

  • Oversee events on the day of, including vendor coordination, problem-solving, welcoming guests, and communication with staff, student workers, and clients. 

  • Maintain the master campus logistics calendar to ensure seamless event scheduling. 

QUALIFICATIONS

  • Strong customer service orientation with the ability to prioritize and manage routine tasks, long-term projects, and immediate requests.

  • Excellent written and oral communication skills.

  • Organized and detail-oriented, with strong record-keeping skills.

  • Proficiency in basic office software applications.

  • Bachelor’s degree preferred but not necessary. 

EMPLOYEE CLASSIFICATION: Full-time exempt (on-site/in person)
