The Advancement Services Coordinator is responsible for managing all aspects of the “backend” of the Advancement Department, including, but not limited to, the implementation and management of the fundraising database system (currently Blackbaud Raiser’s Edge). The ASC will facilitate the training of users of the database system.
The ASC will facilitate the production of the direct mail fundraising program, including any prospect mail or prospect email initiatives.
This position will oversee department student workers and assist the VP in calendar management, scheduling, expense processing, financial reporting and analysis, and other duties as required.
The ASC will often be the first point of contact for PHC donors, so outstanding hospitality and interpersonal skills (phone, email, and face to face) are necessary.
Database: manage and improve processes, maintain and improve data integrity, train new users, and prepare reports as needed
Mail Program: develop & manage annual mail calendar, coordinate with PHC president and other writers, manage production, printing, and mailing with outside vendors or internal staff. Report and analyze mail performance
Departmental budgets: assist the Vice President in preparing and monitoring annual income and expense budgets for the Advancement Office
Gift Acknowledgment: compose custom letters for major gifts
Reporting: supervise the preparation of daily and weekly income reports, prepare monthly income reports, update house and prospect mail reports, update pledge and campaign spreadsheets, dashboard report, and other reports as needed
Events: supervise and assist in Development Events as required
Student workers: supervise student workers in the Advancement Office
Arrange conference calls and meetings, frequently with the President, Trustees, major donors, and other high-level individuals
Process travel reimbursements and submit expense reports

Bachelor’s degree preferred
High degree of proficiency in Microsoft Excel, Word, and PowerPoint
